Maintenance

Maintenance planner / scheduler

Planning decides how a job is done (steps, parts, tools, hours); scheduling decides when. Done well, they raise wrench time without anyone working harder.

Routine

Daily

  • Triage new requests: priority, ready or waiting
  • Build job plans for repeat and large jobs
  • Kit parts for tomorrow's scheduled jobs

Weekly

  • Freeze next week's schedule with production
  • Measure schedule compliance for last week

Monthly+

  • Backlog in crew-weeks and PM compliance
  • Reorder review for spares that drove delays

KPIs you are measured on

Wrench time

Share of a technician's shift spent hands-on doing the work, measured by work sampling — not by CMMS bookings.

Formula Wrench time = Observations 'working' ÷ Total observations × 100

Top pains and how to handle them

Backlog nobody trusts

Clean it: close duplicates and done jobs, estimate hours, then express it in crew-weeks so the trend means something.

Schedule broken by breakdowns every day

Schedule to about the capacity left after typical break-in work, and track how much break-in work displaced the plan.

Jobs start without parts

Only schedule jobs that are 'ready' — parts on hand or kitted, permits identified, access agreed.
