Permit-to-work coordinator

You run the permit office: every hot work, confined space, work at height and isolation job is planned, authorised, isolated, handed back and closed. A good permit system means no one starts high-risk work without the right controls in place. Tools here support, but do not replace, a competent person's assessment; follow your local regulations.

Routine

Daily

  • Issue and close permits with the area owner
  • Check isolations and lockout points before handing over
  • Contractor job checks at the start of each job

Weekly

  • Audit a sample of live permits in the field

Monthly+

  • Review permit audit findings and repeat issues

Top pains and how to handle them

Permits are signed at the desk

Sign only after checking the controls at the job, with the person doing the work.

Overlapping jobs on the same equipment

Keep one live-permit board per area and cross-check isolations before each new permit.

Permits are left open after the job

Close-out with the area owner the same shift; review open permits at every shift handover.
